At Vantaflow, we want you to feel confident when ordering our Logo package and Branding Package. This Refund Policy outlines when refunds are available, while also protecting the integrity of our creative work.
1. Concept Validation
A concept is considered validated once the client confirms the design direction is on the right track, whether through:
Email confirmation, or
Other forms of communication
Initial design concepts are delivered within 72 hours of the client completing the required intake form.
Validation simply confirms the design direction is aligned with the client's vision — it doesn't end the revision process. Clients can continue requesting revisions within the project workflow until the final design is completed.
2. Refund Policy
If you're not satisfied with your logo, you may request a full refund under the following conditions:
Before concept validation: A refund can be requested any time prior to approving the initial concept.
After concept validation: Refunds can be requested within 7 calendar days of validation, as long as final files haven't been delivered or used.
Revision Requirement: At least one revision based on your feedback must be completed before a refund can be requested.
Limitation of Liability: Refunds are limited to the total amount paid for the service. Vantaflow is not liable for indirect, incidental, or consequential losses.
Partial Refunds. For requests made 7–14 days after concept validation, a partial refund may apply:
1–2 completed revision rounds → up to 60% refund
3–4 completed revision rounds → up to 40% refund
Requests made after 14 days but before final delivery are reviewed case-by-case, with limited eligibility.
Non-Refundable Situations. A refund will not be issued if:
14 or more days have passed since concept validation
Final logo or brand identity files have already been delivered, approved, accessed, or downloaded
Five or more revision rounds have taken place
Exceptions: Vantaflow will take responsibility in cases of proven design plagiarism or significant technical errors - for example, corrupted files, missing assets, or incorrect file formats.
3. Client Inactivity / Order Completion
Timely delivery depends on active participation from the client.
If a client goes 40 consecutive calendar days without responding, providing requested information, submitting feedback, or approving concepts, the project may be marked complete due to inactivity.
Once a project is marked complete:
Work finished up to that point is delivered as-is
No further revisions will be made
The project is no longer eligible for a refund
4. Post-Final Delivery Adjustments
After the final logo package or branding package deliverables have been sent:
Further changes or new requests fall outside the original scope and will incur an extra fee
Clients can ask that their project be excluded from Vantaflow's portfolio or marketing materials, and we'll honor that request
Before a refund is processed, Vantaflow may first offer:
A different designer for the project
Additional design concepts or directions
Direct support from a Project Manager
These options are meant to resolve issues efficiently.
5. How Refunds Are Processed
Refunds go back to the original payment method
Timing depends on your bank or payment provider — Vantaflow isn't responsible for any related bank, processor, or currency conversion fees
Every refund is logged in the project record for transparency
To request a refund, please provide:
Your company name
A brief explanation of the issue
Vantaflow will review your request promptly and work toward the best resolution.
6. Our Commitment
Our goal is to deliver a design that reflects your vision. Vantaflow supports this through revisions, additional concepts, or refunds under the rules above, while maintaining the integrity of the creative process.
